An internal dashboard on top of Karbon for an accounting firm

Problem

Billing lived in Karbon, engagement work in Caseware, new client intake in GoHighLevel, and payroll in CSV exports. Managers wanted live numbers — revenue, outstanding, overdue, and exactly who had earned which bonus — without anyone re-keying data between systems, and without waiting on a report nobody could reproduce.

Approach

We built a single-tenant dashboard behind Microsoft 365 sign-in with an email allowlist, so only the firm's managers get in. Karbon users, clients, and invoices mirror into Postgres on a fifteen-minute schedule plus a signature-verified invoice webhook, so pages load instantly instead of waiting on the API.

On top of that cache sits the part that mattered most: a bonus engine that encodes the firm's actual rules, including the cap on paid, zero-due invoices and the split between the client owner and the person responsible for the work. The pivot reproduces their existing report line for line, so the numbers could be trusted from day one, and imported payroll data nets off what has already been paid.

A companion service keeps intake clean, syncing GoHighLevel form submissions into Karbon as contacts and organizations and searching before it creates so nobody ends up duplicated.

Outcome

One place where managers see firm-wide revenue, outstanding balances, and bonus detail — recalculated from source systems every fifteen minutes rather than assembled by hand.
